Operational Policy 08 (OP-08): Club Policy
Summary
The Union recognizes the contribution that student Clubs make to campus life and the quality of the educational experience that members enjoy. The Union further recognizes that individual Clubs may have difficulty gaining access to limited resources and the attention of fellow members. Therefore, the Union provides an infrastructure for the coordination and effective resourcing of a diversity of student Clubs and student Club activities.
Policy
I. Ratification
a. Ratification of a Club will be considered valid upon the fulfillment of all of the following:
i. The submission of an application including the following:
1. A Club name which:
a. Is prefaced with “Thompson Rivers University Students’ Union (TRUSU)”;
b. Is with concluded with “Club”;
2. A description of the Club’s intended aims and purposes;
3. A designation of the Club as belonging to one of the following categories:
a. Academic;
b. Common Interest;
c. Ethnicity-based;
d. Religious Affiliation;
e. Political Affiliation;
4. The explication of any affiliation with organizations external to the Union
5. Signatures, indicating interest, and student identification numbers of no less than fifty (50) members of the Union who are in good standing;
6. The identification of two signing authorities with sample signatures, who shall act as the representatives of the Club in all interactions with the Union, and who
shall be selected by means of a open vote of the Club membership;
ii. The review and acceptance of the application by the Board of Directors as meeting the above requirements;
b. Clubs are required to renew status and signing authorities annually following the close of each fiscal year, July 31;
c. A Club may have its ratification by the Union cancelled upon the violation by the Club of the policies of the Union, policies of Thompson Rivers University, or applicable legislation, or for any other reason, as deemed by the Board of Directors;
II. Membership and Activity;
a. Membership in all Clubs must be open to all members of the Union;
b. Clubs may refuse membership and participation to anyone who has committed repeated acts contrary to the aims and purposes of the Club, or disruptive of the activities of the Club, as documented and submitted to the Union;
c. Clubs are restricted from the following activities;
i. The sale of alcohol;
ii. Any which violate the policies of the Union, the policies of Thompson Rivers University, or applicable legislation;
III. Resources and Facilitation;
a. The signing authorities of a Club are legally liable for the activities of the Club, including financial activity;
b. Clubs are eligible to receive funding from the TRUSU Grants Program as per the TRUSU Grants Policy;
